Parents needed to plan Troop trips

Dear Parents of Scouts in Troop 859:

We are looking for help with organizing the events for 2010.  Each month the Troop goes on one main outing.  We need parents to sign up as Troop Committee Members or Assistant Scoutmasters and help make the Troop outing arrangements.  Each trip for 2010 has been reserved and the reservation fee has been paid.  Assistant Scoutmasters work with the Scouts under the leadership of the Scoutmaster and BSA program and Committee Members help support the program planned by the Scoutmasters by organizing trips, raising funds, etc. Your help can make 2010 a success for Troop 859, and 2010 is  a BIG year for Scouting:  this summer we will go the BSA National Jamboree to celebrate the 100th year of Scouting!

What do you have to do?  Just like planning your own trip, the Trip Planner will need to address all of the issues the Troop will face and be able to give the leaders a packet of information on the day the Troop leaves for the trip that will tell them everything they need to know on the trip.

For example a Troop outing packet should contain:

Lists, including:

  • The List of the Scouts attending;
  • The list of Adult drivers with cell phone numbers and emergency contact numbers with copies for each driver;
  • The checklist of equipment needed;
  • The checklist and envelope to collect fees for the trip;
  • Any rules unique to the camping or outing location; and
  • Driving directions for each driver.

All BSA forms needed including:

  • Tour Permit;
  • health forms;
  • waivers or releases.

Other items that may be needed:

  • A Troop check to pay for any final fees if needed (see Troop Treasurer Rich M);
  • Merit Badge requirements that are to be covered on the outing;
  • Blue Cards for each Scout (see Advancement Chair Barbara D);
  • Food for meals or snacks for the event.

The Tour Permit for the Scout trip (can be secured online at the www.bgcbsa.org website);

It is not a difficult task to arrange a planned outing, but it does take a few minutes to get all the questions answered and all the forms completed.  Parents can sign up for the monthly outing that interests them the most or one that they plan to attend.
